Because the communications needs currently, it's hard to stay current, as well as in touch with your potential clients. Telecommunications is the key to profit, as well as the most basic link in communication is your business telephone system. The standard type of system is the "Private Branch Exchange," or PBX. These powerful and technologically advanced devices are the foundation of it all. It can be difficult to determine what sort of business phone system you need, though.

While evaluating telephone systems for small business, it's crucial that you don't get locked in to a small PBX system which won't scale together with your increasing requirements. Why don't we look into a few things you must give consideration to.

Employee salaries are the price of doing business. However, paying someone just to answer phones, or taking time away from an otherwise skilled employee to perform this menial task is really a waste of funds. You'll be glad to know that most of the same features can be overseen by many of the current PBX systems. At the most basic level, these "Auto Attendant" features includes options such as allowing your users to brows through a touchtone activated menu, reach specific extensions or access information recordings. Maybe someday we'll even have a PBX that will brew a pot of coffee...

More interesting are auto-dial capabilities, which can be used to provide a wide array of useful functions. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, especially when blended with modern technology. For example, sending text messages to cell phones automated for informative personal, departmental, or company-wide alerts and notices. Recordings or messages can be delivered as well, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails, news or stock alerts, and more.

A unique option in the market is the "Hosted PBX." Rather than running the system yourself, a hosted PBX is a run remotely, usually leased on a monthly or yearly basis. Often times, this can drive down your costs, and allow for a quick roll out, with little or no equipment needed at your places of business. Calls can easily be routed to other numbers as well, such as cells and home phones. The advantages do come at a price though, with much of your system being tied up remotely, which can become a nightmare should you later switch to a local system. Transferring everything from menus to voicemail to extensions to the new system can become difficult.

We've come a long way since the days of the early telephone and switchboard. The sheer power and flexibility delivered by computer driven telephone systems, like the modern business PBX, can do wonders for your business. But each business has unique needs and demands, and there is really no one size fits all solution. It's my hope that some of the information above will help you determine what will really benefit you in a business phone system.
