In a world of ever changing technology and evolving sales and marketing communications needs, it's important for your business to remain on top. Telecommunications is paramount to productivity, as well as the most important portion of that is your business phone system. The standard type of system is the "Private Branch Exchange," or PBX. In the world of telephony, these advanced systems are the foundation of it all. It can be difficult to determine what sort of PBX you need, though.
How you will go about buying and integrating a phone system into your business will depend mostly on what kind of capabilities and services it provides, and also how you plan to use it. What amount growth would you expect to have, and how long should the system continue to serve you? Will you need to have your system control multiple physical locations, and possibly forward phone calls to cell phones or other remote locations?
Answering a few of these questions is vital to choosing the best match for your business, and its PBX Phone System. To assist you find those answers, here's some food for consideration...
Hiring an operator or receptionist is often times unnecessary, or just unfeasible if you have too many incoming calls. The same tasks performed by receptionist on the phone can be taken care of by many of the business phone systems these days, and usually can do it better than a human. At the most basic level, these "Auto Attendant" features includes options such as allowing the caller to navigate a (potentially huge) menu system, reach specific extensions or access information recordings. Maybe someday we'll even have a phone system that will brew a pot of coffee...
Having your phone system perform automated tasks can save you time and money. Auto-dialing provides a means for the system to place calls (and more) all on it's own. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, with tasks like sending text messages to cell phones automated for informative personal, departmental, or company-wide alerts and notices. Voicemail from important numbers can be forwarded instantly, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails, news or stock alerts, and more.
If you'd prefer not fit a PBX into your business's physical location, there are hosting options available. Rather than installing a machine to service your business, a hosted PBX is a standard business phone system, hosted and managed by a provider. The advantage is largely that you can take a hands off approach to the system, and have little investment in equipment. Calls can easily be routed to other numbers as well, such as cells and home phones. The advantages do come at a price though, with much of your system being tied up remotely, which can become a nightmare should you later switch to a local system. Transferring everything from menus to voicemail to extensions to the new system can become difficult.
No one can predict the future, or determine how their business will change and expand in the coming years. However, communications will forever be the core of any successful business. As you can see, the technology and flexibility of today's business phone systems is astounding. The PBX forms the nervous system, the core of all your business dealings. Without choosing a powerful and business phone system though, that nervous system is left lacking, and your business crippled. Power and expandability are critical in finding the PBX that's the right fit for you.
