Business owners must continuously maintain contact with their customers, and staff.People are continuously interconnected and exchanging valuable, important information. Keeping these communications flowing, at the heart of your business is the PBX, making sure sales agents and clients as well are able exchange information. Before diving in though, there are a few things you should consider.
How you go about deciding on and integrating a phone system into your organization is based on mostly on what type of capabilities and services it provides, as well as how you will plan to use it. How much expansion do you anticipate, and how long should the system continue to serve you? Would you gain more from maintaining it at your office, or having a 3rd party host it? Will you need to have your system handle multiple physical locations, and possibly forward telephone calls to other remote locations?
Answering some of these concerns is crucial to choosing the perfect match for your organization, and its PBX Phone System. To help you find those answers, here's some food for consideration...
Employee salaries are the price of doing business. However, paying someone just to answer phones, or taking time away from an otherwise skilled employee to perform this menial task is really a waste of funds. The same tasks performed by receptionist on the phone can be overseen by many of the business phone systems these days, and usually can do it better than a human. At the most basic level, these "Auto Attendant" features includes options such as allowing the caller to brows through a touchtone activated menu, reach specific extensions or access information recordings. Now if only they had a phone system that will brew a pot of coffee...
More interesting are auto-dial capabilities, which can be used to provide a wide array of useful functions. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, with tasks like sending text messages to cell phones automated for informative personal, departmental, or company-wide alerts and notices. Recordings or messages can be delivered as well, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails.
Not all the systems on the market are proprietary. Many commercial options are powered by an open source PBX package. The "Asterisk" project is a suite of high powered, feature rich software PBX tools, very popular with many businesses. The software runs on a standard PC, along with specialized interface cards to connect you to the outside telephone system (including everything from standard telephone lines, through ISDN or T1 lines.) Features are rich, including robo-dialing, auto-operator menu systems, voicemail, voice over IP, and much more.
Of course this doesn't come without downsides. You'll either need to administer all of this yourself, or hire an expert to setup and administer the system for you. The software can be difficult to install and configure without experience, requiring a good deal of time to familiarize yourself with it.
No one can say for certain how their business will grow over the coming years. One thing is certain though, your choice of business phone system will be one of the crucial factors in shaping those coming years of expansion. As you can see, the technology and flexibility of today's business phone systems is astounding. The PBX forms the nervous system of your company, extending into each nook and cranny, delivering vital messages. Without choosing a powerful and business telephone system though, that nervous system is left lacking, and your business crippled. Power and expandability are critical in finding the PBX that's the right fit for you.
