People are continuously interconnected and being involved in those connections is crucial to keeping vital in today's economy. As a business, your phone system, or "PBX," is the key to keeping communications flowing, making sure sales agents and customers alike are able to stay in contact with one another. Before diving in though, there are a few things you should consider.
In a small business environment, it's important to don't get locked into a small PBX system which will not scale along with your expanding needs. So let's start thinking about a few things you must take into consideration.
Employee salaries are the price of doing business. However, paying someone just to answer phones, or taking time away from an otherwise skilled employee to perform this menial task is really a waste of funds. You'll be glad to know that most of the same features can be overseen by many of the current PBX systems. At the most basic level, these "Auto Attendant" features includes options such as allowing your users to navigate a (potentially huge) menu system, reach specific extensions or access information recordings. Maybe someday we'll even have a PBX that will brew a pot of coffee...
Having your phone system perform automated tasks can save you time and money. Auto-dialing provides a means for the system to place calls (and more) all on it's own. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, with tasks like sending text messages to cell phones automated for informative personal, departmental, or company-wide alerts and notices. Voicemail from important numbers can be forwarded instantly, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails.
A unique option in the market is the "Hosted PBX." Rather than running the system yourself, a hosted PBX is a run remotely, usually leased on a monthly or yearly basis. The advantage is largely that you can take a hands off approach to the system, and have little investment in equipment. Calls can easily be routed to other numbers as well, such as cells and home phones. The advantages do come at a price though, with much of your system being tied up remotely, which can become a nightmare should you later switch to a local system. Transferring everything from menus to voicemail to extensions to the new system can become difficult.
We've come a long way since the days of the early telephone and switchboard. The sheer power delivered by computer driven phone systems, like the modern business PBX, can do wonders for your business. But each business has unique needs and demands, and there is really no one size fits all solution. The considerations mentioned here should help you determine the best system for your growing business.
