Businesses must constantly maintain contact with their potential customers, and personnel.People are continuously interconnected and being involved in those connections is crucial to keeping vital in today's economy. As a business, your telephone system, or "PBX," is the key to keeping communications flowing, making sure personnel and customers alike are able to stay in contact with one another. Before diving in though, there are a few things you should consider.
How you would start shopping for and integrating a PBX into your company depends largely on what sort of functions and services it offers, in addition to how you will want to host it. What sort of internet connectivity does your business phone system require? Will you need to have your system handle several physical locations, and possibly forward phone calls to cell phones or other remote locations?
Addressing many of these concerns is essential to getting the most out of the system. Let's look at an example of a key feature choice which can add a great deal to your business's telephone system, and far too often ignored.
Employee salaries are the price of doing business. However, paying someone just to answer phones, or taking time away from an otherwise skilled employee to perform this menial task is really a waste of funds. You'll be glad to know that most of the same features can be overseen by many of the business phone systems these days, both cheaper, and better than a human. At the most basic level, these "Auto Attendant" features includes options such as allowing your users to brows through a touchtone activated menu, reach specific extensions or access information recordings. Maybe someday we'll even have a PBX that will brew a pot of coffee...
Having your phone system perform automated tasks can save you time and money. Auto-dialing provides a means for the system to place calls (and more) all on it's own. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, with tasks like sending text messages to cell phones automated for informative personal, departmental, or company-wide alerts and notices. Recordings or messages can be delivered as well, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails, news or stock alerts, and more.
Modern software has seen a flood of high quality open-source development, and the PBX market is no exception. The "Asterisk" project is a suite of high powered, feature rich software PBX tools, very popular with many businesses. The software runs on a standard PC, along with specialized interface cards to connect you to the outside telephone system (including everything from standard telephone lines, through ISDN or T1 lines.) Features are rich, including robo-dialing, auto-operator menu systems, voicemail, voice over IP, and much more.
Of course this doesn't come without downsides. You'll either need to administer all of this yourself, or hire an expert to setup and administer the system for you. The software can be difficult to install and configure without experience, requiring a good deal of time to familiarize yourself with it.
"Can you hear me now?" isn't something you want your customers or employees to have to utter. Making sure you're able to keep in touch around the office, and with the outside world is a very real and serious demand of modern business. Your selection of a business telephone system will ensure that you're capable of seamless integration with other modern technology, such as email and text messaging. Hopefully this article has helped you determine what you really need.
