Businesses must continuously maintain contact with their clients, and staff.People are continuously interconnected and exchanging valuable, important information. As a business, your phone system, or "PBX," is the key to keeping communications flowing, ensuring salespeople and potential customers as well are able to stay in contact with one another. Before diving in though, there are a few things you should consider.
The first task you will need to take would be to enumerate the telephone system requirements of your company. With the vast array of options on the market, you don't want to get blindsided by unexpected requirements in the future, after your PBX has been operating for several years. The marketplace changes fast, you will want business phone system that will also match any long term needs you could possibly place on it.
Employee salaries are the price of doing business. However, paying someone just to answer phones, or taking time away from an otherwise skilled employee to perform this menial task is really a waste of funds. You'll be glad to know that most of the same features can be overseen by many of the current PBX systems. At the most basic level, these "Auto Attendant" features includes options such as allowing the caller to brows through a touchtone activated menu, reach specific extensions or access information recordings. Maybe someday we'll even have a PBX that will brew a pot of coffee...
More interesting are auto-dial capabilities, which can be used to provide a wide array of useful functions. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, especially when blended with modern technology. For example, sending text messages to cell phones automated for instant and informative personal, departmental, or company-wide alerts and notices. Recordings or messages can be delivered as well, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails, news or stock alerts, and more.
Modern software has seen a flood of high quality open-source development, and the PBX market is no exception. The "Asterisk" project is a suite of high powered, feature rich software PBX tools, very popular with many businesses. The software runs on a standard PC, along with specialized interface cards to connect you to the outside phone system (including everything from standard phone lines, through ISDN or T1 lines.) Features are rich, including robo-dialing, auto-operator menu systems, voicemail, voice over IP, and much more.
However, if you go this route, you'll either need to administer all of this yourself, or hire an expert to setup and administer the system for you. With the full features of the suit, also comes a sometimes difficult process of installing it.
We've come a long way since the days of the early telephone and switchboard. The sheer power delivered by computer driven phone systems, like the modern business PBX, can do wonders for your business. But each business has unique needs and demands, and there is really no one size fits all solution. It's my hope that some of the information above will help you determine the best system for your growing business.
