Businesses must constantly maintain contact with their valued clients, and employees.People are usually interconnected and being involved in those connections is crucial to keeping vital in today's economy. Keeping these communications flowing, at the heart of your business is the PBX, making sure sales agents and clients alike are able to stay in contact with one another. Before diving in though, there are a few things you should consider.
The way you go about shopping for and integrating a phone system into your company depends mostly on what sort of functions and services it provides, in addition to how you want to host it. What amount growth can you expect, and how long should the system continue to last? Would you benefit more from maintaining it on site, or having a 3rd party host it? Would you need to have your system control multiple physical locations, and maybe forward phone calls to other remote locations?
Answering some of these concerns can be essential to getting the most out of the system. To help you find those answers, here's some food for consideration...
Employee salaries are the price of doing business. However, paying someone just to answer phones, or taking time away from an otherwise skilled employee to perform this menial task is really a waste of funds. You'll be glad to know that most of the same features can be taken care of by many of the current PBX systems. At the most basic level, these "Auto Attendant" features includes options such as allowing the caller to navigate a (potentially huge) menu system, reach specific extensions or access information recordings. Now if only they had a phone system that will brew a pot of coffee...
Having your phone system perform automated tasks can save you time and money. Auto-dialing provides a means for the system to place calls (and more) all on it's own. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, with tasks like sending text messages to cell phones automated for instant and informative personal, departmental, or company-wide alerts and notices. Recordings or messages can be delivered as well, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails.
Not all the systems on the market are proprietary. Many commercial options are powered by an open source PBX package. The "Asterisk" project is a suite of high powered, feature rich software PBX tools, very popular with many businesses. The software runs on a standard PC, along with specialized interface cards to connect you to the outside telephone system (including everything from standard telephone lines, through ISDN or T1 lines.) Features are rich, including robo-dialing, auto-operator menu systems, voicemail, voice over IP, and much more.
However, if you go this route, you'll either need to administer all of this yourself, or hire an expert to setup and administer the system for you. The software can be difficult to install and configure without experience, requiring a good deal of time to familiarize yourself with it.
Modernizing your current system, or installing your first, it doesn't matter. Upgrading your business phone system to harness the power of the current offerings is a no-brainer. Delving into the multitude of features provided by modern telephony systems is exciting and can bring huge rewards in terms of increasing your business's capabilities, productivity, and overall ability to communicate, whether it be with customers, or inter-office communications.
