In a world of ever changing technologies and evolving communications needs, it's important for your business to stay on top. Communication is paramount to profit, as well as the most basic link in communication is your business phone system. The standard type of system is the "Private Branch Exchange," or PBX. These advanced systems are the foundation of it all. It can be difficult to determine exactly what sort of PBX you need, though.
While researching phone systems for business, it's imperative that you give some thought to expandability and functionality for future years. Getting locked in to a poor capability business phone setup which could stagnate over time might leave you in the predicament of having to spend more down the road, upgrading an existing service - or maybe that is precisely the point you're at presently. Take into consideration some of the options that a modern-day business phone system would bring you, keeping an eye towards the longer term.
Employee salaries are the price of doing business. However, paying someone just to answer phones, or taking time away from an otherwise skilled employee to perform this menial task is really a waste of funds. You'll be glad to know that most of the same features can be overseen by many of the business phone systems these days, both cheaper, and better than a human. At the most basic level, these "Auto Attendant" features includes options such as allowing the caller to brows through a touchtone activated menu, reach specific extensions or access information recordings. Now if only they had a PBX that will brew a pot of coffee...
More interesting are auto-dial capabilities, which can be used to provide a wide array of useful functions. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, especially when blended with modern technology. For example, sending text messages to cell phones automated for informative personal, departmental, or company-wide alerts and notices. Recordings or messages can be delivered as well, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails.
Modern software has seen a flood of high quality open-source development, and the PBX market is no exception. The "Asterisk" project is a suite of high powered, feature rich software PBX tools, very popular with many businesses. The software runs on a standard PC, along with specialized interface cards to connect you to the outside phone system (including everything from standard phone lines, through ISDN or T1 lines.) Features are rich, including robo-dialing, auto-operator menu systems, voicemail, voice over IP, and much more.
However, if you go this route, you'll either need to administer all of this yourself, or hire an expert to setup and administer the system for you. The software can be difficult to install and configure without experience, requiring a good deal of time to familiarize yourself with it.
Making sure your business's telephone system is up to snuff is a crucial factor in ensuring your business's ability to communicate and survive. Delving into the features provided by modern telephony systems is exciting and can bring huge rewards in terms of increasing your business's capabilities, productivity, and overall ability to communicate, whether it be with customers, or inter-office communications.
