Communications are one of the things most defining modern society. People are usually interconnected and being involved in those connections is crucial to keeping vital in today's economy. Keeping these communications flowing, at the heart of your business is the PBX, making sure salespeople and clients as well are able to stay in contact with one another. But what options are there in this ever-changing market?
For the most part , home telephone systems are straightforward to decide on, with very few options and a small amount of carriers to look at. That's no big surprise, for individual use, there is not really a lot of wide variety in terms of needed options or hi-tech capabilities.
But a PBX is definitely an completely different decision. Organizations have numerous different requirements and particular needs in terms of communications. Features can make or break your office telephone system, determining your ability to grow with future requirements and growth, your ability to leverage the strength of the internet in your communications network (with technology like Voice over ip,) and your capacity to continue to be bulletproof and protected from services outages, by using things like battery back-up UPS systems and remote administrative functionality. With your PBX playing such a vital role, let's take a look at a thing or two which you may need to keep in mind.
Hiring an operator or receptionist is often times unnecessary, or just unfeasible if you have too many incoming calls. The same tasks performed by receptionist on the phone can be overseen by many of the business phone systems these days, and usually can do it better than a human. At the most basic level, these "Auto Attendant" features includes options such as allowing the caller to brows through a touchtone activated menu, reach specific extensions or access information recordings. Now if only they had a PBX that will brew a pot of coffee...
Having your phone system perform automated tasks can save you time and money. Auto-dialing provides a means for the system to place calls (and more) all on it's own. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, with tasks like sending text messages to cell phones automated for informative personal, departmental, or company-wide alerts and notices. Recordings or messages can be delivered as well, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails.
If you'd prefer not fit a PBX into your business's physical location, there are hosting options available. Rather than installing a machine to service your business, a hosted PBX is a standard business phone system, hosted and managed by a provider. The advantage is largely that you can take a hands off approach to the system, and have little investment in equipment. Calls can easily be routed to other numbers as well, such as cells and home phones. The advantages do come at a price though, with much of your system being tied up remotely, which can become a nightmare should you later switch to a local system. Transferring everything from menus to voicemail to extensions to the new system can become difficult.
No one can predict the future, or determine how their business will change and expand in the coming years. However, communications will forever be the core of any successful business. The PBX forms the nervous system, the core of all your business dealings. Without choosing a powerful and business telephone system though, that nervous system is left lacking, and your business crippled. Power and expandability are critical in finding the PBX that's the right fit for you.
