Everyone who is in the market for a new phone system, one does need to make sure that you explore the different choices available and also get expert advise and phone system quotes from multiple different vendors. A result of the communications demands nowadays, it's hard to stay current, and in touch with your potential clients. Communication is the vital to productivity, and the most basic link in communication is your business telephone system. The standard type of system is the "Private Branch Exchange," or PBX. These powerful and technologically advanced devices are the foundation of it all.
It's not like selecting your long-distance service provider or mobile phone. In those marketplaces, the options are usually minimal and it's mainly one size fits all.
As with everything else, the corporate world moves at a different speed. Features can make or break your PBX system, determining your ability to grow with potential future needs and growth, your ability to make use of the effectiveness of the internet as part of your communications network (with technologies such as Voice over ip,) and your ability to remain bulletproof and immune to services failures, by using things such as battery back up UPS systems and remote administrative capacities. To give you an idea of just how critical these features can be, consider just how your enterprise is impacted by this.
Hiring an operator or receptionist is often times unnecessary, or just unfeasible if you have too many incoming calls. The same tasks performed by receptionist on the phone can be taken care of by many of the current PBX systems. At the most basic level, these "Auto Attendant" features includes options such as allowing the caller to brows through a touchtone activated menu, reach specific extensions or access information recordings. Maybe someday we'll even have a phone system that will brew a pot of coffee...
Having your phone system perform automated tasks can save you time and money. Auto-dialing provides a means for the system to place calls (and more) all on it's own. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, with tasks like sending text messages to cell phones automated for informative personal, departmental, or company-wide alerts and notices. Recordings or messages can be delivered as well, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails, news or stock alerts, and more.
A unique option in the market is the "Hosted PBX." Rather than installing a machine to service your business, a hosted PBX is a run remotely, usually leased on a monthly or yearly basis. Often times, this can drive down your costs, and allow for a quick roll out, with little or no equipment needed at your places of business. Calls can easily be routed to other numbers as well, such as cells and home phones. The advantages do come at a price though, with much of your system being tied up remotely, which can become a nightmare should you later switch to a local system. Transferring everything from menus to voicemail to extensions to the new system can become difficult.
No one can say for certain how their business will grow over the coming years. However, your choice of business phone system will be one of the crucial factors in shaping those coming years of expansion. As you can see, the technology and flexibility of today's business phone systems is astounding. The PBX forms the nervous system of your company, extending into each nook and cranny, delivering vital messages. Without choosing a powerful and business telephone system though, that nervous system is left lacking, and your business crippled. Power and expandability are critical in finding the PBX that's the right fit for you.
