Organizations must consistently maintain contact with their potential customers, and personnel.People are continuously interconnected and exchanging valuable, important information. As a business, your telephone system, or "PBX," is the key to keeping communications flowing, ensuring salespeople and potential customers alike are able to stay in contact with one another. But what options are there in this ever-changing market?
How you will go about investing in and integrating a PBX in to your company is based on largely on what type of capabilities and services it gives you, as well as how you will want to use it. What amount expansion do you expect to see, and how long should the system continue to serve you? Would you benefit more from having it on site, or having a 3rd party host it? What sort of infrastructure do you have in place already, plus can you make use of it within the new system?
Answering many of these concerns can be essential to getting the most from the system. Let's consider one example of a key feature option that may add a lot to your organisation’s telephone system, and far too often not considered.
Hiring an operator or receptionist is often times unnecessary, or just unfeasible if you have too many incoming calls. You'll be glad to know that most of the same features can be taken care of by many of the business phone systems these days, both cheaper, and better than a human. At the most basic level, these "Auto Attendant" features includes options such as allowing your users to brows through a touchtone activated menu, reach specific extensions or access information recordings. Maybe someday we'll even have a PBX that will brew a pot of coffee...
More interesting are auto-dial capabilities, which can be used to provide a wide array of useful functions. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, with tasks like sending text messages to cell phones automated for instant and informative personal, departmental, or company-wide alerts and notices. Voicemail from important numbers can be forwarded instantly, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails.
Modern software has seen a flood of high quality open-source development, and the PBX market is no exception. The "Asterisk" project is a suite of high powered, feature rich software PBX tools, very popular with many businesses. The software runs on a standard PC, along with specialized interface cards to connect you to the outside telephone system (including everything from standard telephone lines, through ISDN or T1 lines.) Features are rich, including robo-dialing, auto-operator menu systems, voicemail, voice over IP, and much more.
Of course this doesn't come without downsides. You'll either need to administer all of this yourself, or hire an expert to setup and administer the system for you. With the full features of the suit, also comes the process of installing it.
"Can you hear me now?" isn't something you want your customers or employees to have to utter. Making sure you're prepared to deal with any communications needs that may crop up is serious demand of modern business. Your selection of a business telephone system will ensure that you're capable of seamless integration with other modern technology, keeping your business agile and responsive to the market's demands. Hopefully some of the topics mentioned here have given you some food for thought, while determining what you really need.
