Due to the communications needs in today's market, it's important for your business to keep on top. Communication is paramount to productivity, as well as the most basic link in communication is your business phone system. The standard type of system is the "Private Branch Exchange," or PBX. In the world of telephony, these advanced systems are the foundation of it all. It can be difficult to determine exactly what sort of PBX you need, though.
It isn't really like selecting your long-distance carrier or smartphone. In those marketplaces, the options tend to be minimal and it's mostly one size fits all.
As with all else, the business world moves at a different pace. Features can make or break your office telephone system, determining your ability to grow with long term future requirements and business expansion, your ability to take advantage of the effectiveness of the net in your communications network (with technologies such as Voip,) and your capacity to remain bulletproof and safe from services outages, with things such as power supply back-up UPS systems as well as remote management capabilities. With your business phone system playing such a vital role, let's take a look at a thing or two that you might need to keep in mind.
Hiring an operator or receptionist is often times unnecessary, or just unfeasible if you have too many incoming calls. You'll be glad to know that most of the same features can be overseen by many of the current PBX systems. At the most basic level, these "Auto Attendant" features includes options such as allowing your users to brows through a touchtone activated menu, reach specific extensions or access information recordings. Maybe someday we'll even have a phone system that will brew a pot of coffee...
More interesting are auto-dial capabilities, which can be used to provide a wide array of useful functions. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, especially when blended with modern technology. For example, sending text messages to cell phones automated for instant and informative personal, departmental, or company-wide alerts and notices. Recordings or messages can be delivered as well, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails.
Not all the systems on the market are proprietary. Many commercial options are powered by an open source PBX package. The "Asterisk" project is a suite of high powered, feature rich software PBX tools, very popular with many businesses. The software runs on a standard PC, along with specialized interface cards to connect you to the outside phone system (including everything from standard phone lines, through ISDN or T1 lines.) Features are rich, including robo-dialing, auto-operator menu systems, voicemail, voice over IP, and much more.
Of course this doesn't come without downsides. You'll either need to administer all of this yourself, or hire an expert to setup and administer the system for you. With the full features of the suit, also comes a sometimes difficult and time consuming process of installing it.
"Can you hear me now?" isn't something you want your customers or employees to have to utter. Making sure you're able to keep in touch around the office, and with the outside world is a very real and serious demand of modern business. Choosing a good, well rounded PBX to drive your business phone system will ensure that you're capable of seamless integration with other modern technology, keeping your business agile and responsive to the market's demands.
