It may make your head swim, researching the wide range of solutions with today's business phone systems. Regardless if you are a small business just getting into the market, or upgrading your business phone system to meet growing needs, the market has really expanded to meet today's demand for constant communication and collaboration.
Usually , home phone systems are simple to decide on, with almost no options and a a small number of vendors to choose from. That is no big surprise, for individual use, there's not a lot of variety in terms of necessary functions or hi-tech capabilities.
Like with all else, the corporate world moves at a different rate. This is one of those decisions that will changes everything, influencing your ability to grow with long term requirements and expansion, your ability to make use of the power of the internet in your communications network (with technologies like Voip,) and your capacity to remain bulletproof and protected from services failures, by using things like battery backup UPS systems and remote administrative functionality. To give you a sense of just how crucial these features could be, think about just how your company is impacted by this.
Hiring an operator or receptionist is often times unnecessary, or just unfeasible if you have too many incoming calls. You'll be glad to know that most of the same features can be taken care of by many of the current PBX systems. At the most basic level, these "Auto Attendant" features includes options such as allowing the caller to navigate a (potentially huge) menu system, reach specific extensions or access information recordings. Maybe someday we'll even have a phone system that will brew a pot of coffee...
Having your phone system perform automated tasks can save you time and money. Auto-dialing provides a means for the system to place calls (and more) all on it's own. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, with tasks like sending text messages to cell phones automated for informative personal, departmental, or company-wide alerts and notices. Recordings or messages can be delivered as well, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails, news or stock alerts, and more.
If you'd prefer not fit a PBX into your business's physical location, there are hosting options available. Rather than running the system yourself, a hosted PBX is a run remotely, usually leased on a monthly or yearly basis. The advantage is largely that you can take a hands off approach to the system, and have little investment in equipment. Calls can easily be routed to other numbers as well, such as cells and home phones. The advantages do come at a price though, with much of your system being tied up remotely, which can become a nightmare should you later switch to a local system. Transferring everything from menus to voicemail to extensions to the new system can become difficult.
"Can you hear me now?" isn't something you want your customers or employees to have to utter. Making sure you're able to keep in touch around the office, and with the outside world is a very real and serious demand of modern business. Your selection of a business phone system will ensure that you're not only able to keep voice communications flowing, but will also allow seamless integration with other modern technology, such as email and text messaging. Hopefully some of the topics mentioned here have given you some food for thought, while determining what you really need.
