From internal communications between employees, to collaboration with remote branches, to incoming calls from clients or customers, the backbone of a business phone system is their PBX, or "Private Branch Exchange." From the rudimentary days of the old plug-in, manually operated switchboard systems, to the modern computer controlled business phone systems of today - it's more than just a means of communication - the PBX is how things get done. Let's have a look at what it takes to bring this technology into your company, or upgrade its current system.
How you would start purchasing and integrating a PBX into your business is based on mostly on what type of functions and services it gives you, as well as how you will want to host it. How much bandwidth for internet connectivity does your business phone system require? Will you need to have your system work with multiple physical locations, and perhaps forward phone calls to other remote locations?
Answering a few of these questions is generally very important to getting the most from the system. Let's look at one example of a key feature choice which can add a lot to your organisation’s phone system, and way too often neglected.
Employee salaries are the price of doing business. However, paying someone just to answer phones, or taking time away from an otherwise skilled employee to perform this menial task is really a waste of funds. You'll be glad to know that most of the same features can be taken care of by many of the business phone systems these days, both cheaper, and better than a human. At the most basic level, these "Auto Attendant" features includes options such as allowing your users to navigate a (potentially huge) menu system, reach specific extensions or access information recordings. Now if only they had a PBX that will brew a pot of coffee...
More interesting are auto-dial capabilities, which can be used to provide a wide array of useful functions. At the most basic level, many of us associate PBX auto-dialing with robo-calls, or telemarketing. However, the systems can do much more than that, with tasks like sending text messages to cell phones automated for instant and informative personal, departmental, or company-wide alerts and notices. Voicemail from important numbers can be forwarded instantly, and many packages even provide text to speech for reading messages to the recipient, such as crucial e-mails.
A unique option in the market is the "Hosted PBX." Rather than installing a machine to service your business, a hosted PBX is a run remotely, usually leased on a monthly or yearly basis. Often times, this can drive down your costs, and allow for a quick roll out, with little or no equipment needed at your places of business. Calls can easily be routed to other numbers as well, such as cells and home phones. The advantages do come at a price though, with much of your system being tied up remotely, which can become a nightmare should you later switch to a local system. Transferring everything from menus to voicemail to extensions to the new system can become difficult.
Making sure your business's telephone system is up to snuff is a crucial factor in ensuring your business's ability to communicate and survive. Delving into the multitude of features provided by today's PBX systems is exciting and can bring huge rewards in terms of increasing your business's capabilities, productivity, and overall ability to communicate, whether it be with customers, or inter-office communications.
